Terms & Conditions

1. General Terms and Conditions

1.1. The General Terms and Conditions are binding and valid for all course participants.

1.2. By enrolling in one of the courses, the participant accepts the General Terms and Conditions (GTC). 

1.3. Registration takes place online via the website.  A registration for a language course is only binding once the participant has made the required payments and received a confirmation of registration from Unilexam International. 

2. Payment

Payment is made via the method of payment selected by you in the booking process. 
The following payment methods are available: 

  • Bank transfer
  • Credit card

2.1. Bank transfer
The registration fee as well as the course fee must be paid in full to the bank account listed below at least two weeks before the course starts.

2.2. Credit card
Together with the invoice, participants will receive a payment link that enables them to pay the course fee by credit card.

2.3. Payment instructions will be sent together with the invoice.

2.4. The payer is responsible for all bank and transaction charges.

2.5. In the event of payment default, Unilexam reserves the right to charge reminder fees or refuse participation in the course.

2.6. Installment payments

Course fees are generally payable in full and in advance. Installment payments may be granted in exceptional cases upon written request. Requests must be submitted by email to invoices@unilexam.com.

3. Cancellation

3.1. Group lessons

This cancellation and refund policy applies to all course formats, including online, hybrid, and in-house courses. The registration fee corresponds to the booked course format (€5 for online courses; €25 for hybrid and in-house courses) and is non-refundable in all cases.

3.1.1. Cancellations before course start

  • Up to 14 days prior to the course start date: A full refund of the course fee will be issued minus €115, plus the applicable non-refundable registration fee.
  • 7–13 days prior to the course start date: 50% of the course fee will be retained, plus the applicable     non-refundable registration fee.
  • Less than 7 days prior to the course start date: 75% of the course fee will be retained, plus the applicable non-refundable registration fee

3.2. Online private and duo lessons

For online individual and duo lessons, cancellations of scheduled sessions must be communicated at least 48 hours prior to the lesson. If this notice period is met, the lesson will not be charged, and the instructor can be informed indue time. To arrange a replacement session, participants are required to contact academy@unilexam.com so that a new lesson can be scheduled.

  • Cancellations made less than 48 hours before the scheduled lesson may be counted as completed teaching hours.
  • Once an online private or duo lesson package has been booked, no refunds are issued.

3.3. Tutor´s Academy

The following refund policy applies to the Tutor´s Academy, for both online and in-house formats:

  • Up to 14 days prior to the program start date: A full refund of the course fee will be issued minus € 125 + 25 € registration fee
  • 7–13 days prior to the program start date: 50% of the course fee will be retained + 25 € registration fee
  • Less than 7 days prior to the program start date: 75% of the course fee will be retained + 25 € registration fee

3.4. Cancellations after course start

Once the course has commenced, no refunds will be granted. In exceptional cases, Unilexam may, at its discretion and subject to availability, offer a transfer to a later course date; this does not constitute a refund.

4. Courses

4.1. Course assignment & Course times

  • Assignment to a course level is based on a placement test.
  • Classes usually take place Monday to Friday and are held in the mornings and/or afternoons.*
    *course times can vary if necessary

4.1. 1. Course start, level availability and minimum number of participants

Courses require a minimum of 4 to 7 participants, depending on the country and course format. If the minimum number is not met or if a course or level cannot commence as scheduled, Unilexam International reserves the right to postpone, modify, or cancel the course.

In such cases, no refund will be granted. Instead, Unilexam International may offer an alternative course format, including individual or small-group lessons. Where a group course is converted to another format, the total number of teaching hours may be adjusted accordingly at no additional cost to the participant.

4.1.2 Course formats and content

The course format and content are defined at the start of the course and tailored to the respective participant group. Unilexam International reserves the right to make organizational adjustments to the content and structure.

4.2. Technical requirements for online courses

Participants are responsible for ensuring adequate technical equipment (e.g. stable internet connection, functioning microphone and camera); technical issues on the participant’s side do not entitle them to a refund.

4.3.Absences and Replacement Sessions

4.3.1. Group Courses (online, hybrid or In-house)

In group courses, missed lessons cannot be made up, rescheduled, or refunded. The course continues as scheduled for all participants, and there is no entitlement to compensation for missed content.

4.3.2. If participation in a scheduled lesson is not possible for any reason, participants are required to inform Unilexam at least 24 hours in advance. Notification must be submitted by email to academy@unilexam.com.

4.3.3. Course materials and relevant handouts from missed lessons maybe provided upon request, subject to availability. Please note that lessons are not recorded. Participants are solely responsible for catching up on any missed content, including reviewing provided materials and completing assigned tasks.

4.4 Voucher

If a participant is unable to attend a booked course due to health-related or comparable valid reasons, Unilexam may issue a voucher upon request, subject to review. The voucher is generally valid for 12 months from the date of issue. Participants are required to contact Unilexam within this validity period to arrange a new course start date. Vouchers that are not redeemed within the stated period expire automatically and cannot be extended.

Each voucher includes the following details:

  • Participant name
  • Course name
  • Course level
  • Remaining course weeks
  • Remaining teaching hours
  • Payment status (e.g. paid)

Vouchers are personal and non-transferable and may only be redeemed by the participant named on the document. Vouchers cannot be exchanged for cash or transferred to third parties. The issuance of a voucher does not constitute a refund and does not modify the original contractual terms beyond the provisions outlined above.

5. Certificates and Exams

5.1. Unilexam internal final exam

The final exam is necessary to pass the course and receive a certificate. It takes place at the end of the course. If the participant does not pass the final exam, he/she is entitled to repeat it. 

5.2. Official recognized certificate

Costs for certificates and exams are not included in the course price and have to be paid separately (such as TELC). If you require an internationally recognized certificate, examinations can be arranged through our cooperation partners upon request.

6. Follow-up course

If you are already attending a language course and would like to take a follow-up course, you must register in good time by e-mail: academy@unilexam.com .There is no automatic course place reservation.

7. Obligations and Services of Unilexam

7.1 Course delivery as agreed
Unilexam commits to delivering the booked language course at the specified time, in the agreed format (online, hybrid, in-house), and with the announced content.

7.2 Qualified teaching staff
Courses are delivered by qualified instructors, who are generally native speakers and have relevant teaching experience. Unilexam reserves the right to substitute instructors in the event of illness or other unforeseen circumstances.

7.3. Unilexam undertakes to ensure that all skills and knowledge necessary to achieve the educational objective are provided. 

7.4. All language courses serve the purpose of professional, school or academic further education and can also be taken as preparation for a recognized language diploma. 

7.5. Insofar as essential changes become necessary before or during the educational measure, the participant must be informed of these in writing. 

7.6. School certificates and confirmations will only be issued if all invoices or instalments have been paid. 

7.7. With the confirmation of registration, we guarantee a level differentiation of the lessons according to the European Framework of Reference for Languages as follows: A1, A2, B1, B2, C1, C2. 

7.8 Flexibility in case of insufficient participant numbers
If the minimum number of participants is not reached, Unilexam will offer reasonable alternatives (e.g., a course with reduced hours, one-on-one lessons, or similar options).

7.9. Technical support for online courses
Unilexam provides a stable learning environment through appropriate platforms (e.g., Zoom) and offers technical support for access issues — provided these issues occur on the system side.

7.10. Quality assurance
Regular evaluations and feedback sessions are conducted to ensure quality standards. Complaints or suggestions for improvement are taken seriously and addressed in a timely manner.

 7.11. Data protection and confidentiality
All personal data is treated as confidential and used solely for the administration and organization of courses. Data will not be shared with third parties without the participant’s explicit consent.

8. Tasks of the participant

8.1. It is the participant's responsibility to attend his/her language course regularly. If this does not happen, Unilexam has the right to refuse him/her the participation in the internal final examination and the issuing of a certificate. 

8.2. In the event of irregular attendance at the German course, there will be no refund of course fees and no extension of the course. 

8.3. The student should be punctual to class and inform Unilexam if he/she is more than 10 minutes late. Classes that start late due to the student's tardiness do not need to be extended or made up. 

8.4. If a student is absent from his/her group class, this class will not be made up. 

8.5. Reporting absences in time

  • Individual and duo lessons: In the event of absence from one-to-one or duo lessons, participants are required to notify Unilexam at least 48 hours in advance. Failure to provide timely notice may result in the session being charged in full.
  • All Other Course Formats : For all other course formats (including group, hybrid, and in-house courses), absences must be reported at least 24 hours in advance by E-Mail to academy@unilexam.com. Failure to notify Unilexam within this timeframe may result in the lesson being counted as completed.

8.6 Active participation
Participants are expected to actively engage in class, complete homework assignments, and prepare learning materials.

8.7 Independent learning responsibility
Participants share responsibility for their own learning success and should allocate time outside of class for review and practice.

8.8 Technical responsibility (for online courses)
A stable internet connection, functioning camera, and microphone are required for participation in online courses. Participants are responsible for their own technical equipment.

8.9 Respect fulI interaction
A respectful, non-discriminatory interaction with instructors and fellow learners is expected at all times.

8.10 Use of appropriate communication channels
For inquiries, rescheduling, or other questions, the official communication channels (e.g., email to info@unilexam.com) must be used.

9. Career Center

Unilexam International does not guarantee admission to any university or the receipt of a job offer from an employer. Final decisions regarding acceptance are made exclusively by the respective institutions or companies. Unilexam has no influence over these independent selection procedures.

Nonetheless, Unilexam provides full support throughout the application process. This includes strategic planning, assistance with required documents, and advisory services.

9.1 Refund policy in case of rejection:
In the event that all three submitted applications (either university or employer) are rejected, the following partial refund conditions apply:

  • University application rejection: An administrative fee of € 150 will be retained. The remaining amount of € 400 will be refunded to the bank account provided by the participant.
  • Employer application rejection: An administrative fee of € 250 will be retained. The remaining amount of € 500 will be refunded accordingly.
  • These partial refunds apply only if all three applications are unsuccessful.
  • Refunds will be processed within 14 business days after official rejection documentation has been submitted.

10. Extraordinary Circumstances

10.1. Unilexam reserves the right to change the course time (date or time) or to change the teacher. 

10.2. In case of cancellation or postponement of the course for organizational reasons, a new course will be organised. The total course fees will not be refunded. If a teacher falls ill, a substitute will be organised on the third day at the latest. 

11. Public Holidays

There are no classes on public holidays in the respective country. The cancelled lessons will not be refunded but will be made up at another time. The teacher may arrange alternative course dates with the students.

12. Pictures and Films

Pictures and films taken during the language course or during joint excursions may be published in Unilexam's promotional material or on the internet. If you do not agree to this, you must let us know on the registration form before the course begins.

13. Data Protection

Within the framework of the general data protection law, the organiser is entitled to store the personal details of the participant on electronic media. The organiser undertakes to comply with the provisions of the Data Protection Act. 

14. Liability

Unilexam accepts no liability for errors or omissions caused by the clients or by unforeseeable events or by third parties, due to misfortune or force majeure. Refunds can only be claimed for the services provided by Unilexam.
